MANAGEMENT SERVICES

Our management philosophy is to operate each property from an owner’s perspective while understanding the needs of the tenants.

PROPERTY MAINTENANCE

The property management team, superintendents, and other staff members play an integral part of fostering a sense of community in a building. To deliver on this objective, our management team will:

  • Develop a schedule and checklist for routine inspections and maintenance to ensure the cleanliness of the building, the proper operation of all building systems, and staff accountability.
  • Provide a straightforward and rapid response to service requests, mechanical failures, and unsafe conditions.
  • Plan and implement building-wide capital projects.
  • Implement cost-saving measures, including energy surveys, water consumption audits, and periodic review of service contracts.

ACCOUNTING

Our team consisting of a Vice President, Accounts Payable and Receivable Supervisors, and Accounts Payable Specialist provide financial and accounting services to our clients as follows:

  • Collect rents, common charges, maintenance charges, and escalations.
  • Pay and track invoices, including, mortgage, tax, and other recurring payments.
  • Prepare monthly financial reports including operating budgets for clients and their financial advisors.
  • Review insurance policies and premiums and follow – up communication to keep Boards and Owners advised of policy / coverage changes.
  • Prepare annual filings for RPIE, DHCR, Tax Certiorari (Tax Protests), Coop / Condo Abatement, and many others.

LEASE ADMINISTRATION

A full-time lease administrator works in coordination with the property managers, and accounting team to ensure that leases are executed in a timely and accurate manner, incorporating frequently changing regulations from the city and state.

  • Review and prepare new apartment leases and oversee Coop’s subleases (coops and condos).
  • Set renewal rates with owner’s inputs, generate renewal leases with the latest riders, and follow up with all tenants to ensure they return executed leases within compliance dates.
  • Maintain tenant security deposit accounts.

BUILDING COMPLIANCE

A full-time in-house compliance officer works to implement and oversee frequently changing regulations from the city and state:

  • Monitor and attend administrative hearing to clear violations for FDNY, ECB, and other NYC agencies
  • Monitor all annual filings for HPD registration, elevators, boilers, water tanks, energy ratings, etc.
  • Sign building department permit applications with DOBNOW and compliance sign-offs (including elevator, boiler, façade, etc.)
